Terms and Conditions
Appointments
Please arrive 10 minutes before your first appointment with Body Treats so there is enough time for you to complete a consultation form. This will highlight any medical conditions or health issues and enable the therapist to ensure the treatment is right for you.
Your consultation form will be reviewed at each future appointment to check you are still eligible for the treatment.
Lateness for your appointment may shorten the length of your treatment(s).
It is a client’s responsibility to raise medical conditions with us at the time of booking so that we can confirm the requested treatment is not contraindicated.
In some instances, a GP/Consultant permission may be required before a treatment is provided.
Your consultation form is a confidential document and its contents will not be disclosed to third parties unless otherwise stated or in the event of fraud, illegal behavior, etc.
If your circumstances change (including name, address, contact details, medical conditions, etc) you must inform us. We take no responsibility for any errors or problems arising from a failure to advise us of a change.
Clients under the age of 16
Clients under the age of 16 must be accompanied by an adult.
The adult must give permission for the treatment to be performed and co-sign the client’s consultation form.
The adult must be present in the room throughout the treatment.
Mobile treatments
Body Treats will only take mobile treatment bookings within a 15 mile radius of Cheltenham, Gloucestershire. Those postcodes serviced are listed below. Please check before arranging a mobile treatment.
All bookings must be made with the intention of supplying an appropriate working environment, with access to electricity points and water.
Enough space must be provided for the therapist to carry out your treatments.
Please advise if access to a flat/apartment is via stairs of more than one flight without the use of a lift, as it may not be possible to carry out the appointment due to heavy equipment needed for the treatments (e.g. massage couch).
The therapist may arrive a few minutes early in order to set up any relevant equipment for your treatment.
Please inform Body Treats of any parking restrictions at the time of the booking so as to avoid any unnecessary fines.
If in a permit zone, these must be given to the therapist for the duration of the treatment being provided.
Inappropriate behaviour
We reserve the right to alter, refuse or terminate a treatment, in the event of a client engaging in any of the following:
inappropriate behaviour or making inappropriate requests of a therapist
abusing a therapist physically, emotionally, verbally or in any other way
being under the influence of alcohol, drugs, etc.
The client must pay the full price for the treatment. If the therapist is unable to collect the full price of the treatment, an invoice will be sent to the client’s address for payment within 7 days.
Body Treats will not take bookings from male clients who have not been referred to them by existing clients, eg friends, family, spouse etc.
Payments and refunds
Body Treats accepts payment by cash, card, cheque or BACS.
Invoices will be sent to clients who do not pay for, or cancel treatments. These must be paid within 7 days of the date of the invoice.
If at any point you are unsatisfied with any treatments, you must report it within 14 days of your appointment, either by phone, email, text or Facebook message.
Any claims for refunds must be made within 14 days of treatment.
Gift vouchers
Special offers and promotions do not apply when purchasing a voucher.
Vouchers can only be used once and include a unique number to identify its usage.
Vouchers cannot be used to purchase a further voucher.
Vouchers can be purchased for a particular treatment or for a specified amount.
They cannot be exchanged for cash or refunded.
All vouchers are dated and expire as per the date highlighted on the voucher.
We are not responsible if a voucher is lost, stolen, destroyed or used without permission and no replacement will be provided in these circumstances.
Cancellations
If a cancellation is made within 24 hours of the appointment, the client will incur a cancellation fee of 50% of the treatment price.
If a cancellation is made within 12 hours of the appointment, the client will incur a cancellation fee of 100% of the treatment price.
The cancellation fee may be waived at Body Treats discretion.
Please note that these Terms and Conditions apply for appointments made for yourself or on behalf of a third party. If making a booking for a third party it is your responsibility to ensure that person/s can attend the appointment and is aware of our Terms & Conditions, and the cancellation policy.
Body Treats has the right to cancel an appointment by giving 24 hours notice.
Appointments will be rearranged within two weeks of the cancelled treatment where possible.
Complaints Procedure
If you are unhappy about a treatment you are receiving please talk to the therapist providing the treatment so that she can adjust the treatment if necessary and possible.
If you are still unhappy, please email ainsley@body-treats.co.uk and include the date and location of the incident, the full name of the complainant, details of the complaint and a desired outcome following the complaint
All complaints will be taken very seriously and a response will be provided within 28 days
Privacy
Client treatment details will not be discussed with anyone other than the client unless the client is under the age of 16 or has a care worker or guardian
Consultations will only be discussed with the client unless the client is under the age of 16 or has a care worker or guardian
All clients must complete a consultation form before receiving treatments
Consultation forms and treatment notes will be kept on file, securely by Body Treats
By signing the consultation form, clients are giving Body Treats permission to hold records and data about them
Personal information such as name, email, date of birth and treatment history may be used to send promotional emails about new products, special offers or other information which we think you may find interesting.
You are able to unsubscribe from these mailings at any time.
Any personal information you provide us, whether via this website or through a consultation form, will not be released, sold or rented to any entities or individuals outside of Body Treats.
